Every website project starts the same way: with a simple, confident idea. We need a new website. We need to redesign the one we have. We need it live by a certain date. That confidence rarely survives contact with reality. The first week quietly becomes the second. A design review runs long. The content still isn't ready. Someone adds a requirement that wasn't in the original brief. Development is waiting on an approved design; design is waiting on final copy. Before long, a project that looked like a few weeks of work is still going months later — and nobody can point to the one thing that went wrong. So, why do website projects take longer than they should? We put that question to our LinkedIn audience directly.

We asked: what's the hardest part of building a website? The responses were revealing — 46% said getting started, 31% said content, 15% said designing, and only 8% said development. That order matters. The part everyone assumes is the bottleneck — actually building the thing — ranked dead last. Conversations with the designers, developers, and project leads we spoke to afterward backed up the pattern: getting started, unclear ownership, and fragmented feedback create more delay than the design and development work itself. A website project usually doesn't get delayed by one major problem. It gets delayed by a chain of small decisions that aren't made at the right time. Here's where that happens, and what actually fixes each one.

Every project begins with questions: Who is the website for? What are we trying to achieve? Which pages do we actually need? Who owns the content? Who approves the work? When these go unanswered early, the team starts working from assumptions — and assumptions eventually turn into revisions. A designer builds a homepage from the initial brief; two weeks in, a stakeholder mentions they're actually targeting a different audience now. The problem isn't that the designer worked too slowly. The project started without enough clarity to work from. The fix: before design begins, nail down the sequence — goal, audience, scope, content requirements, functionality, decision-makers, timeline. A clear starting point saves far more time than trying to make the team move faster once things are already underway. It also helps to not start from a blank canvas at all. This is exactly the gap Coco Grid Marketplace is built for, a library of real-world Figma templates that give designers, founders, and product teams a solid, customizable starting point instead of an empty file. You still make it yours; you just stop paying the "getting started" tax that 46% of our poll pointed to as the hardest part of the whole process.

Content came in as the second-biggest source of friction in our poll. Design and development can move quickly right up until someone asks the obvious question: where's the final copy? Then the familiar cycle starts — design goes out with placeholder text, revised copy comes in, the layout shifts to fit it, a section runs too long, the copy changes again, and development has to absorb it mid-build. Content isn't something you bolt onto a finished website — it shapes the structure of the site itself. Headlines drive layout. Body copy affects spacing. Product information dictates page structure. When content shows up late, it doesn't just delay a page — it forces rework that could have been avoided. The fix: treat content as part of the project from day one. Before design gets too far along, define what content exists, what needs rewriting or creating, who owns each piece, and when it needs approval. Even without final copy in hand, a clear content structure beats designing around placeholder text indefinitely.

A homepage goes out for approval. The marketing manager comments in the design file. The founder emails separately. Sales sends another round on Teams. Someone else raises a point in a meeting that never makes it into writing. The designer now has several competing versions of what the website is supposed to be — and feedback was never the real problem. Fragmented, slow feedback is. A designer can finish a homepage in two days; if it then takes five days to get a decision, the project hasn't moved in that time, it's simply been waiting. The fix — one source of truth, one decision-maker: keep feedback in a single place, and set a defined review window — designs shared Monday, consolidated feedback by Wednesday, final changes by Friday. Once a section is approved, treat that approval as a decision; if someone wants to revisit it later, that's a new change request, not an invisible revision. This doesn't eliminate feedback. It makes it predictable, which is usually all a project needs.

A design can look completely straightforward on screen, and then development starts and the gaps surface: the component needs states nobody designed for, mobile wasn't accounted for, the CMS has limitations nobody flagged, or a third-party integration behaves differently than expected. Now the team has to stop and clarify decisions that should have been made earlier. The fix: before a design is considered final, talk through responsive behavior, component states, interactions, technical constraints, CMS requirements, and accessibility. The earlier these get discussed, the cheaper they are to resolve.

A request sounds harmless enough: can we just change this button? Then move this section. Then add one more testimonial. None of these seems significant on its own, but collectively they create real rework and a long chain of interruptions — the team loses context, decisions get revisited, work gets duplicated, and the project feels like it's constantly moving without getting closer to launch. The issue isn't that teams shouldn't accept changes. It's not distinguishing planned work from new work. The fix: use a simple change-control process. When a new request comes in, ask whether it's part of the original scope — if yes, fold it into the planned work; if not, decide whether it replaces something, adds to the timeline or cost, or moves to a later phase. And group decisions together: instead of one question, one email, one revision at a time, aim for review, consolidate, decide, execute. Fewer handoffs mean fewer chances for misunderstanding.

Ask these at the start of any project: Who owns the content? Who approves the design? Who makes the final call when stakeholders disagree? Who signs off on development? If the honest answer to any of these is "we'll figure it out," a future delay has probably already been baked in. This gets harder with outsourced teams too — client to agency to designer to developer adds hops unless ownership and approval authority are explicit from the start. Without clear ownership, everyone can weigh in, but nobody can confidently say this is approved, let's move forward. A Simple Framework for Keeping Website Projects on Track A faster website project doesn't necessarily need a faster design or development team. It needs a better process:

<ol><li>Align: Define the business goal, audience, scope, functionality, and success criteria.</li><li>Prepare: Get content, assets, technical requirements, and stakeholders ready before production starts — starting from a proven template rather than a blank file saves real time here.</li><li>Design: Create the experience, validate the structure, and account for responsive and technical requirements.</li><li>Consolidate: Collect feedback in one place instead of letting it spread across emails, chats, and meetings.</li><li>Approve: Define who makes the final decision, and set clear approval points.</li><li>Build: Start development with an approved direction and clear requirements.</li><li>Validate: Test across devices, browsers, content, functionality, and performance.</li><li>Launch: Deploy with a defined launch checklist and clear ownership for post-launch fixes.</li></ol>The goal isn't to remove every revision. The goal is to prevent the unnecessary ones.

Before your next project kicks off, run through these questions. Before the project

At <a href='https://www.cocogrid.com/' target='_blank'>Coco Grid</a>, we're a UI/UX design agency that helps startups, SaaS companies, and enterprises design better digital experiences — user research, UX and visual design, design systems, and development for websites, apps, and SaaS platforms. Our approach centers on understanding users, simplifying complex experiences, and creating products that are both functional and visually engaging. Given that getting started was the single biggest pain point in our poll, it's also why we built the <a href='https://marketplace.cocogrid.com/' target='_blank'>Coco Grid Marketplace</a>, a library of real-world Figma templates designed for speed and real-world application. The philosophy is simple: don't start from scratch, start with a solid foundation and make it yours. Each template is built to be customized around your brand, content, and requirements, so a project can move from a blank page to a working starting point in hours instead of weeks. We have a <a href='https://marketplace.cocogrid.com/templates/axion-consultancy' target='_blank'>FREE TEMPLATE</a> just for you to get started. Whether you're starting a website from scratch, redesigning an existing platform, or trying to get a stalled project moving again, the first step is the same: understand where the process is actually getting stuck. A better website project doesn't necessarily need more people. It needs fewer unnecessary loops — and sometimes a better starting point. We would like to conclude by saying that: A website project doesn't go long because someone forgot to work hard enough. More often, it goes long because too many decisions are left open for too long. Get the right people involved early. Get the content moving. Keep feedback in one place. Make ownership clear. Control scope. Start from a solid foundation instead of a blank page where you can. Don't measure a website project only by how quickly your team can design or build. Measure how quickly the entire team can make good decisions. That's where website projects really speed up.

<ol><li>Why do website projects take so long?Website projects often take longer than expected because of unclear requirements, delayed content, slow approvals, fragmented feedback, scope changes, and repeated revisions between design and development.</li><li>What is the biggest cause of website project delays? There isn't one universal cause, but delays commonly come from unclear scope, content not being ready, slow stakeholder approvals, and changing requirements.</li><li>How can I speed up a website project?Define scope and decision-makers early, prepare content before design, use one feedback channel with set approval deadlines, involve development early, and start from a proven structure rather than a blank canvas where possible.</li><li>Can templates help speed up a website project?Yes. A well-built template gives design and content a working structure to react to instead of starting from nothing, which shortens the 'getting started' phase most teams find hardest. Coco Grid Marketplace offers Figma templates built for exactly this.</li><li>Why does website content delay projects?Content affects page structure, layout, and hierarchy. When content arrives late or changes after design approval, designers and developers often need to rework completed sections.</li><li>Why does feedback slow down website projects?Feedback itself isn't the problem. Early communication helps catch technical constraints and implementation issues before they become expensive changes.</li><li>Does outsourcing website development make projects slower? It can, if communication, ownership, and approval processes are unclear. With a well-defined operating model, an external team can increase capacity and help projects move faster.</li></ol>

Why Website Projects Take Longer Than They Should

Why do website projects take so long? Explore the real causes of website delays — from getting started and content to approvals and scope — and how to fix them.

Most SaaS teams assume conversion problems start with pricing. If trial-to-paid conversions are low, pricing must be wrong. If user activation is weak, marketing must be attracting the wrong audience. If retention is declining, competitors must be offering more value. But in many SaaS UX audits we've conducted, the root cause appears much earlier in the customer journey. Users don't abandon products because they dislike the idea. They leave because the experience makes it difficult to realize the value. A confusing onboarding flow. An overwhelming interface. A frustrating signup process. A poorly timed upgrade prompt. Individually, these issues may seem minor. Together, they create friction that slows activation, reduces feature adoption, and ultimately impacts revenue growth. For SaaS businesses operating under a Product-Led Growth (PLG) model, <a href="/service">user experience (UX)</a>is no longer just a design consideration. It directly influences customer acquisition costs, activation rates, retention, expansion revenue, and customer lifetime value. The strongest-performing SaaS products are rarely the ones with the most features. They're the ones that make value easy to discover. In this article, we'll examine five common UX friction points we frequently identify during SaaS UX audits, how they affect conversion performance, and the design strategies used to solve them.

User experience influences every stage of the customer journey. From the first landing page visit to onboarding, activation, feature adoption, subscription upgrades, and long-term retention, every interaction either helps users move forward or introduces friction. When friction increases:

This is why leading SaaS companies increasingly view UX as a growth function rather than a design function. A well-designed product doesn't just look better. It converts better.

One of the most common issues we encounter during UX audits is the completely empty dashboard experience. A user signs up, logs in, and is immediately presented with a blank workspace. No guidance. No sample content. No indication of what success looks like. While product teams often view this as simplicity, users frequently experience uncertainty. When users don't know what to do next, onboarding momentum disappears.<h4 style="margin-top: 35px;">The Conversion Impact</h4>Poor empty state UX often creates uncertainty, causing users to abandon onboarding before experiencing the product's value. This can lead to slower user activation, reduced feature exploration, lower product adoption, and weaker trial-to-paid conversion rates.

Leading SaaS products use empty states to guide users instead of leaving them with a blank screen. Interactive onboarding, sample data, onboarding checklists, progress indicators, and guided empty states help users understand the next step and reach value faster.

Improving empty state design reduces friction and shortens Time to Value (TTV). As users gain confidence more quickly, businesses typically see higher user activation, stronger feature adoption, better trial engagement, and improved conversion performance.

Many SaaS products attempt to showcase everything immediately after signup. Users encounter:<ul style="margin-top: 10px;"><li>Complex navigation</li><li>Multiple onboarding prompts</li><li>Advanced settings</li><li>Tooltips</li><li>Notifications</li><li>Product tours</li></ul>all within the first session. The result is often cognitive overload. Behavioral design principles such as Hick's Law show that users take longer to make decisions when faced with too many choices.

Feature overload can overwhelm new users, making it difficult to identify the fastest path to value. This often leads to lower onboarding completion, delayed activation, reduced feature adoption, and increased user abandonment.

Successful SaaS onboarding focuses on outcomes instead of showcasing every feature. Techniques like progressive disclosure, milestone-based onboarding, simplified navigation, guided workflows, and personalized user journeys help users build confidence step by step.

Reducing complexity creates a smoother onboarding experience and helps users achieve value faster. The result is higher activation rates, stronger user engagement, improved product adoption, and better customer retention.

Signup is often the highest-intent moment in the customer journey. Unfortunately, many SaaS products create unnecessary barriers through:<ul style="margin-top: 30px;"><li>Long forms </li><li>Mandatory phone numbers</li><li>Multiple verification steps </li><li>Complex password requirements </li><li>Excessive information requests </li></ul>Every additional step introduces an opportunity for abandonment.

A complicated signup experience creates unnecessary friction at the very first touchpoint. Lengthy forms and complex authentication often result in lower visitor-to-signup conversion, increased drop-off rates, fewer trial starts, and reduced user activation.

Modern UX design focuses on making account creation fast and effortless. Features such as social authentication, magic-link login, passkey authentication, minimal signup fields, progressive profiling, and inline validation help users get started with minimal friction.

Reducing signup friction creates a smoother onboarding journey and encourages more users to complete registration. Businesses typically see higher signup completion rates, increased trial participation, faster onboarding, and improved conversion funnel performance.

One of the most persistent misconceptions in SaaS is that mobile experiences don't matter because users primarily work on desktop devices. The reality is different. Decision-makers frequently evaluate products on mobile devices before committing to demos, trials, or purchases. They use mobile to: <ul style="margin-top: 30px;"><li>Review pricing </li><li>Compare solutions </li><li>Read documentation </li><li>Open invitations </li><li>Explore product websites </li></ul>

A poor mobile user experience can drive potential customers away before they engage with your product. Slow loading times, difficult navigation, and unresponsive interfaces often lead to higher bounce rates, lower signup conversions, reduced trust, and increased drop-off during the evaluation stage.

A successful mobile-first UX strategy ensures users have a seamless experience across every device. Responsive design systems, mobile-friendly navigation, accessible touch targets, fast-loading pages, and optimized pricing pages make it easier for users to explore and convert.

Improving mobile usability helps create a consistent experience that encourages users to stay engaged. Businesses typically benefit from higher visitor engagement, better lead conversion, stronger customer perception, and improved conversion rates across devices.

Many SaaS products attempt to drive upgrades by interrupting users mid-task. A user clicks a feature and immediately encounters a full-screen upgrade request. From a business perspective, the intention is understandable. From a user perspective, it feels like an obstacle.<h4 style="margin-top: 30px;">The Conversion Impact </h4>Poorly timed upgrade prompts can interrupt the user experience instead of enhancing it. When users are asked to upgrade before experiencing value, it often leads to frustration, reduced engagement, lower retention, and a higher risk of churn.

Effective upgrade experiences are built around user value, not sales pressure. Usage-based prompts, feature previews, contextual recommendations, transparent plan comparisons, and outcome-focused messaging help users understand why upgrading benefits them.

When upgrade prompts align with user goals and appear at the right moment, businesses typically see higher upgrade rates, better customer retention, increased customer satisfaction, and stronger expansion revenue.

The challenge with UX friction is that it rarely appears as a single issue. Most conversion problems stem from multiple small obstacles across the customer journey. That's why <a href="/service">UX audits</a> remain one of the most valuable growth initiatives available to SaaS teams. A comprehensive UX audit combines:

The goal isn't simply to identify design issues. The goal is to uncover barriers preventing users from reaching value.

The most successful SaaS products don't win because they have more features. They win because users can understand them faster. Adopt them faster. And achieve meaningful outcomes faster. Every improvement to onboarding, navigation, usability, accessibility, and product flow contributes to a larger objective: reducing friction between users and value. For SaaS founders, product leaders, and growth teams, UX is no longer a cosmetic investment. It's a measurable growth lever. Because when users find value faster, conversion tends to follow. And that's exactly where strategic <a href="/service">UX design</a> creates its greatest impact.

<h4>Can UX design improve SaaS conversion rates? </h4>Yes. Better UX reduces friction throughout the customer journey, helping users reach activation faster, adopt key features more easily, and progress toward paid plans with greater confidence. <h4 style="margin-top: 30px;">What is the biggest UX issue affecting SaaS conversions? </h4>Poor onboarding experiences are among the most common causes of low activation and conversion rates. When users struggle to understand how to achieve value, abandonment increases significantly. <h4 style="margin-top: 30px;">What is a UX audit? </h4>A UX audit is a structured evaluation of a product's user experience. It identifies usability issues, conversion barriers, friction points, and opportunities to improve activation, retention, and overall customer experience. <h4 style="margin-top: 30px;">How often should SaaS companies conduct UX audits? </h4>Most growing SaaS companies benefit from conducting UX audits at least annually or after major product releases, onboarding redesigns, or significant changes to user workflows.

How Better UX Design Improves SaaS Conversion Rates

5 Friction Points We Consistently Uncover During UX Audits

If you've ever hired a design agency or tried to hire a designer, you've probably wondered what actually happens between "let's start" and "here are your final designs." The <a href='/services/ux-design'>UI/UX design process</a> can feel like a black box from the outside. Designers talk about research, wireframes, prototypes, and iterations but what do those words actually mean? Why do they take time? And how do they connect to outcomes your business actually cares about? At Coco Grid, we believe a transparent design process is a better design process. So in this blog, we're opening the box, walking you through exactly how we design digital experiences that actually work, what happens at each stage and why it matters for your final product.

Before we get into the steps, it's worth asking: why have a process at all? Because designing without a process means designing based on assumptions. And assumptions about users are almost always wrong. A structured user experience design process ensures that every design decision is grounded in real user behavior, real business goals, and real evidence. It reduces the risk of expensive rework after launch. It aligns your product team, your stakeholders, and your designers around a shared understanding of what you're building and why. A great product experience is never accidental. It comes from thoughtful design, clear strategy, and deep user understanding. Here's how Coco Grid makes it happen.

Every project at Coco Grid begins the same way: by understanding the people who will actually use the product. This is the most important step in the entire process and the one most teams skip too quickly. Before we sketch a single screen, we invest time in understanding your users deeply. What we do in this stage: • User interviews and surveys • Persona development • User journey mapping • Competitive analysis • Stakeholder interviews and insights

User interviews reveal the goals, frustrations, and mental models of your actual users — not the ones you imagine them to be. Journey maps show us where the current experience breaks down. Competitive analysis tells us what the market expects and where there are gaps to exploit. The output of this stage is a clear, research-backed picture of who your users are, what they need, and what's standing in their way. Why it matters: Good design starts with real user problems, not assumptions. Every hour invested in research prevents multiple hours of rework after launch.

With a clear understanding of users in hand, we move into ideation — the stage where we figure out how the product should be structured and how users should move through it. This is not yet about what the product looks like. It is entirely about how it works. The logic, hierarchy, and flow that will determine whether users can accomplish their goals effortlessly or get lost along the way. What we design in this stage:

This step answers one key question: How should users move through the app or product? Getting this right before moving to visual design is critical. A beautifully designed product with a confused structure will always frustrate users. A well-structured product, on the other hand, makes visual design significantly easier because every screen has a clear purpose. Why it matters: Structure is the skeleton of your product. Fix it here — not after development has started.

Once the structure is defined, we bring it to life in prototype form — before a single line of code is written. Prototyping is one of the most valuable steps in the UX design process because it lets us validate ideas cheaply and quickly. A wireframe or prototype takes hours to change. A fully built feature takes days or weeks. Catching problems at this stage is dramatically more efficient and dramatically less expensive. What we create in this stage:

We test these prototypes with real users before moving forward. This tells us whether our structural and flow decisions are correct and gives us the evidence we need to refine before committing to visual design. Why it matters: Validate ideas before development begins. Real users always reveal something unexpected — and it's far better to discover it here than after launch.

With validated wireframes and prototypes as our foundation, we move into visual design. This is where the product stops looking like a blueprint and starts looking like something real. Visual design is not decoration. It is communication. Every color choice, typographic decision, spacing system, and component style sends a signal to your users… about your brand, your credibility, and the quality of your product. What we craft in this stage:

The goal at this stage is threefold: clarity, consistency, and a strong visual identity. Every screen should feel like it belongs to the same product. Every visual decision should make the interface easier to understand and more trustworthy to use. Why it matters: UI design is the first thing users react to emotionally. A polished, consistent visual design builds trust immediately — and an inconsistent or dated one erodes it just as fast.

When the process is followed with discipline and genuine user focus, the results are predictable and measurable. A thoughtful UX design process leads to:

The honest answer: it depends on the scope and complexity of your product. Every project at Coco Grid begins with a discovery session that gives us the information we need to provide an accurate, scoped timeline specific to your product and goals.

Not all design processes are equal. The best ones share a few non-negotiable traits:

At Coco Grid, these principles sit at the heart of every engagement — whether we're designing an MVP for a first-time founder or a complex SaaS platform for an enterprise team.

Understanding how UX design works is the first step to getting it right. The second step is finding the right partner to guide you through it. The UX Design Process Explained: A Step-by-Step Guide for Product Teams

The UX Design Process: A Step-by-Step Guide for Product Teams

Learn how Coco Grid's UI/UX design process works — from user research to visual design. A step-by-step guide for product teams who want to build digital experiences that actually work.

If you've ever searched for a design agency or tried to hire a designer, you've almost certainly come across the terms UI and UX, often written together as "UI/UX." But what do they actually mean? Are they the same thing? Can one person do both? These are questions we hear constantly at Coco Grid. And the confusion is understandable, the two disciplines are deeply connected, often overlap and are almost always delivered together. But they are not the same thing. In this blog, we'll break down the difference between UI and UX design clearly, explain how they work together and help you understand why both are essential for building digital products that succeed.

UX stands for User Experience. UX design is the process of shaping how a product feels to use. The logic, flow, and structure that determines whether someone can accomplish their goal easily or gets frustrated and leaves. A UX designer thinks about questions like:

UX design involves user research, persona development, journey mapping, information architecture, wireframing, and usability testing. It is largely invisible to the end user. When UX is done well, people don't notice it. They just feel like the product is easy to use. Think of UX design as the blueprint of a building… the layout of rooms, the placement of doors, the logic of how spaces connect. You don't see the blueprint when you walk through the building, but it determines everything about how the building feels to use.

UI stands for User Interface. UI design is the visual layer of a digital product, the colors, typography, buttons, icons, spacing, and visual hierarchy that users actually see and interact with. A UI designer thinks about questions like:

UI design involves visual design, component design, colour systems, typography, iconography, and the creation of design systems. It is entirely visible. UI is what users see, touch, and react to emotionally. A great UI creates immediate trust and makes the product feel premium. Using the same analogy: if UX is the blueprint of a building, UI is the interior design… the paint colours, furniture, lighting and finishes that make the space feel welcoming, beautiful and on-brand.

A UX designer typically leads the research and strategy phase. They conduct user interviews, map user journeys, define information architecture, and create wireframes and low-fidelity prototypes. Their output is the logic and structure of the product. A UI designer takes that structure and makes it beautiful. They apply the visual language… colors, fonts, spacing, components and produce the high-fidelity screens that developers will build from. At Coco Grid, our UI/UX design process integrates both disciplines from the start. We don't treat them as separate workstreams, we treat them as two layers of the same product-thinking process.

Here's the thing: a product with great UX but poor UI will feel logical but look unprofessional. Users may be able to find what they need, but they won't trust the product enough to stick around. A product with great UI but poor UX will look stunning but feel frustrating. Users will be impressed at first glance and then leave within minutes because they can't figure out how to do what they came to do. The best digital products, the ones that retain users, generate referrals and build strong brands have both working together seamlessly. Great UX without UI: A useful but ugly product users don't trust. Great UI without UX: A beautiful product users can't figure out. Great UI + UX: A product users love, return to, and recommend.

SaaS Products: In a SaaS platform, UX design determines how users navigate between features, how onboarding flows are structured, and how complex data is organized. UI design determines how dashboards look, how data is visualized, and how the product reflects the brand. Both are critical for reducing churn and improving adoption. Mobile Apps: UX defines the app's navigation structure, gesture patterns, and task flows. UI makes the app look polished, on-brand, and visually consistent across iOS and Android. A poor UX means users can't find features. A poor UI means users don't feel confident using the app. Startup MVPs: For startups, UX research validates assumptions before a single line of code is written. UI design creates the first impression that determines whether investors, early adopters, and potential customers take the product seriously.

A UI/UX design agency like Coco Grid delivers both disciplines as part of an integrated product design process. We start with UX, understanding your users, mapping their journeys, and designing the logic of your product. We then layer UI on top, making that logic look beautiful, feel on-brand, and perform consistently across every screen and device. Our <a href='/services'>UI/UX design services</a> cover the full spectrum: UX research, UX design, UX audits, UI design, visual design, design systems, and full-scale development. Whether you're building a new product from scratch or redesigning an existing one, we bring both disciplines together from day one. UI and UX are different disciplines, but they are inseparable in practice. UX without UI produces products that work but don't impress. UI without UX produces products that look good but don't function. Great digital products need both. If you're building a product and wondering where to start… start with UX. Understand your users first. Then design a UI that brings that understanding to life visually. And if you want a team that does both well, <a href='/contact-us'>let's talk</a>.

UI vs UX Design: What's the Difference and Why Both Matter for Your Product

UI vs UX Design: What's the Difference and Why Both Matter

Confused by UI vs UX? Learn the key differences between UI and UX design, how they work together, and why both are essential for building great digital products.

You launch a new onboarding flow. Everything seems smooth. You test it a few times, the UI looks clean… Then complaints trickle in. Users drop off halfway, your support team starts fielding “I can’t find this” tickets, and the team wonders, “What went wrong?” Minor usability issues have a way of hiding in plain sight. And when they add up, they become UX debt: small gaps in usability, accessibility, and consistency that quietly hurt your product’s performance.

UI/UX debt is like design debt’s twin; it’s the slow build-up of friction points that make tasks harder than they should be. Extra clicks here, unclear messaging there, missing focus states… Each one seems small until they tank conversions or drive users away. Research backs this up: 88% of users are less likely to return after a bad experience. In e-commerce alone, fixing usability issues during checkout can increase conversions by up to 35%.

1. Users often abandon tasks when flows feel confusing or unclear, leaving them frustrated and less likely to return. 2. Conversion rates can dip quietly in the background, with potential revenue lost before teams even notice the pattern. 3. Support loads tend to spike when people struggle to complete basic tasks on their own, forcing them to reach out for help 4. Accessibility gaps not only risk compliance issues but also alienate users who feel excluded from the experience. The truth? These issues aren’t always obvious on the surface, they often stay hidden until you take the time to properly audit the experience.

1. Look for the Red Flags : Signs like drop-offs in critical flows such as signup or checkout, low engagement with new features, and a rise in usability complaints or support tickets often point to deeper UX issues. 2. Define the Audit Scope: A thorough UX audit examines navigation and flows to ensure the journey is logical and friction-free, evaluates heuristics against proven principles, checks accessibility for WCAG compliance (including contrast and keyboard navigation), and reviews content clarity so labels and messages guide rather than confuse.

3. Collect the Right Evidence : The audit process includes screen-by-screen walkthroughs, heuristic reviews, and aligning findings with analytics such as drop-off rates and time on task. 4. Prioritize and Act: Group fixes by impact and effort, translate them into a clear and actionable roadmap, and measure progress through improved task success and reduced error rates. 5. Make It Routine: UX audits aren’t one-and-done. Schedule them quarterly or before major releases, just like a health check for your product.

When you catch UI/UX issues before they scale, you save money, time, and user trust. Think of a UX audit as a wellness check, not dramatic, but essential. If you can’t remember your last audit, that hesitation speaks volumes: IT'S TIME.

When Was Your Last Design Audit? If You Have to Think, It's Time

When Did You Last Do a UX Audit? A Checklist for Product Teams

Not sure if your product needs a UX audit? Use our checklist to spot UX debt, usability gaps, and conversion blockers before they hurt your product's performance.

You are busy with investor calls, stand-ups, and product sprints, and the last thing in your mind is ‘UX.’ But then your users drop off. You wonder why your product is not clicking the way you want. Despite your heartfelt efforts, your product's growth stalls, leaving you feeling stuck. Customers sign up. Then slip away. You solve one problem, only to chase the next “must-have” feature, still wondering why traction is weak. These frustrations are real, and here’s what no one tells you: when your product isn’t easy to use, people give up or choose a competitor without you even knowing.

It turns out you’re not alone. Research shows that poor product user experience is a real killer. One study found 17% of startups fail due to a “poor product.” In plain terms, clunky UX often hides behind that number. Even worse, 14% of startups fail because they ignored customer feedback. In other words, if you skip user input and launch in a bubble, you’re headed for trouble. “UX should be your top priority on your MVP when you design the wireframe.” Nearly 45% of companies don’t do any user testing at all. Most blame “no time” or “no budget” for not doing UX research. Translation : Most startups and SMBs are winging it when it comes to UX, then wonder why sign-ups fall off or churn rates stay stubbornly high. These cold facts hit hard, but they make one thing clear: neglecting UX and feedback early is a sure path to product failure, poor onboarding, and wasted effort. The good news is that none of this is unfixable.

1. Talk to users: Interview or survey a few real or potential customers to uncover what confuses them and why they might drop off. You can do this informally (e.g., ask 5–10 users), but agencies typically formalize it with research workshops, personas and journey maps. 2. Sketch solutions: Quickly sketch or wireframe your ideas to visualize key screens and flows. This lets you spot confusing layouts before you code. A founder can draw basic mock-ups or use free tools, while agencies will turn these into polished wireframes and clickable prototypes. 3. Test quickly: Put the prototype in users’ hands to see where they struggle. Even a simple test with 5 people finds approx. 85% of usability problems. You might run basic usability checks yourself, whereas agencies often conduct formal testing sessions or A/B tests to validate and refine the design.

4. Iterate: Refine the design based on feedback until the product flow is smooth and intuitive. Each iteration should reduce confusion and frustration. Both founders and agencies repeat this cycle, though pros often use structured design sprints or review rounds to polish the UX. 5. Build & measure: Once the design is set, hand it to developers to build and then track real user behavior (drop-off points, feature use, satisfaction). Agencies typically deliver detailed design specs or style guides, so engineers implement the UX correctly. After launch, keep an eye on analytics (user retention, onboarding completion, etc.) and iterate further as needed.

“Investing in UX early isn’t just about avoiding pain; it brings real rewards.“

1. Higher retention: A smooth experience keeps users coming back. For example, 74% of visitors say they’ll return to a site with great mobile UX. By contrast, one study found 88% of users won’t come back after a bad experience. Better onboarding and intuitive flows mean more users stick around. 2. More referrals: Happy users become advocates. Each satisfied customer can bring a few new sign-ups just by word-of-mouth. Good UX gives people something to brag about, and that’s free marketing. 3. Less dev rework: Catching UX issues early saves your dev team countless hours. Instead of ripping apart code months later, you’ll have already ironed out major kinks. This means faster releases, fewer hotfixes, and a happier engineering team. 4. Faster growth: Companies that make UX a priority grow faster. One analysis found businesses implementing top design practices grow about 2× faster than their peers. That’s because every confusing step you fix converts into more engaged users, revenue, and momentum. In short, good UX supercharges retention, referrals, and productivity, while sidestepping costly rewrites. It lets your product speak for itself and your users tell others about it.

Good UX is non-negotiable for the current generation of apps and websites. It's not about the idea; it's about the execution and User Experience plays a majority role in that execution. You can have two apps or websites built on the same concept, but the one with the better UX will undoubtedly win the users' attention. Want your customer to stay? or Want to give them the best experience when they visit your site? Or simply want them to understand what you offer without confusion? Then it's time to start caring about your product’s UX... EARLY.

Did you know that companies using AI in design report a 37% increase in efficiency and a 20% boost in customer satisfaction. In today’s competitive market, staying ahead requires embracing groundbreaking technologies like Artificial Intelligence (AI). This powerful tool is transforming business design strategies, unlocking unprecedented growth opportunities. However, ignoring AI could mean falling behind your competition and missing out on these advantages.

In this blog, we’ll delve into how AI can drive business growth through design and why integrating AI into your design process is crucial for staying competitive. We’ll also explore how leveraging existing AI tools can help businesses achieve faster, smarter, and more effective design solutions.

1. Personalize User Journeys: AI deciphers intricate user patterns to tailor experiences that feel uniquely crafted for everyone, boosting engagement and customer loyalty. 2. Empower Designers with Smart Tools: AI doesn't just automate; it enhances the creative process by offering intelligent suggestions, making design workflows more dynamic and inspired. 3. Uncover Hidden Market Opportunities: AI analyses data patterns to identify new trends and untapped market opportunities, enabling businesses to lead rather than follow. 4. Enhance Strategic Foresight: AI's predictive analytics give businesses the edge in anticipating future consumer desires and staying ahead of industry curves, turning insights into proactive strategies.

Ignoring AI in design can slow down innovation, increase costs, and reduce user engagement. Companies that fail to adopt AI risk missing out on emerging trends and falling behind competitors who leverage AI for efficiency and personalization. 1. Falling Behind the Innovation Curve: Companies using AI can innovate faster and offer modern, personalized services. Without AI, keeping up with such advancements becomes difficult.

2. Missing Emerging Trends: AI is excellent at spotting shifts in user preferences and market trends. Without it, businesses risk overlooking key opportunities that could boost growth. 3. Higher Operational Costs: Traditional design processes can take more time and resources. AI streamlines these workflows, cutting down on both time and expenses, and letting the team focus on more important tasks. 4. Lower User Engagement: Today’s users expect personalized experiences. Using AI helps meet these expectations, keeping engagement high and fostering loyalty.

Generative AI plays a crucial role in our design process, helping us brainstorm ideas, streamline workflows, and enhance efficiency. How AI-Driven UI UX Design Boosts Business Growth

Learn how AI-driven UI/UX design is helping businesses improve conversion, retention, and growth — and how Coco Grid applies it to real product design challenges.

Every journey either starts with a good memory or is the pathway to something more adventurous. Coco Grid is one of our dreams come true, where we are more drawn towards better creations.

DQ isn’t just a design meetup but was an idea pitched by Mr. Aravinth Sivasamboo, CEO of Bix Bytes Solutions, the parent company of Coco Grid. The event helped our UI/UX community to create a better network by providing a platform to bring out creativity and make it memorable. The DQ event was packed with industry leaders, like-minded designers, and inspiring voices. We gathered 25 attendees at the first event and exceeded 100 attendees in the second.

The first Design Quest (DQ) 2023 took place on March 11, at Ocean Pearl Mangalore. Design leaders like Jeevan Lazarus, a UX Designer, working as a Product Designer at a startup, dispersed his knowledge on the power of emotion in design. Pradeep Bhat provided a better view of design systems. Sheshachal Joshi Product designer at the same startup, focuses on creating exceptional user experiences. He offered his expertise in mastering the basics of UX/UI design, while Sridara A, Lead UX/UI designer at Media Shark, conducted an insightful design concepts workshop. Rashmi Prabhu and Maniraj Putharan from Coco Grid shared their expertise on the topics of design thinking mindset and UX maturity.

After the success of DQ 2023, Coco Grid hosted Design Quest 2024 on February 24, at MITE (Mangalore Institute of Technology and Engineering) College. The aim was to make it even bigger and attract more participants. Organizing this event was no easy feat, but our Coco Grid team excelled in every aspect. We showcased our expertise in branding, social media, and event management, delivering a memorable experience. Our branding team incorporated local patterns, creating a captivating brand identity. We developed a user-friendly website for registrations, garnering over 100+ sign-ups. Our social media campaigns reached 4,000+ people, and our dedicated website, <a href='https://www.thedezignquest.com' target='_blank'>thedezignquest</a> was a key promotional tool. Coco Grid's meticulous planning and collaboration with speakers and the venue team ensured a seamless event that attendees will cherish.

The occasion included keynote speeches, interactive sessions, and short talks from external speakers such as Pramod Sinha from Sand Cup Design Studio, our main speaker who engaged the audience with a talk on ‘Design Outlook and Approach’. Followed by Punit Chawla, founder of Design Wings, who conducted an interactive session on 'When a Designer Builds a Business from Scratch - How A.I., Design Thinking & Tech Helps'. And Pradeep Bhat, CEO of Akruthi Design Studio took an interactive session on “Data Visualization and User Experience”.

Naveen Ferrao, head of Coco Grid, opened the event with an inspiring address that set a positive tone.
